Office Assistant

We have an exciting new opportunity for a professional and personable individual to come and join us here at Rigel Maritime as a Finance/Office Assistant. This role will involve front of house duties, supporting our Managing Director with any upcoming events requirements, as well as providing effective administrative support across a number of areas, as needed, particularly our HR & Finance departments.

This is a versatile and varied role, where excellent organisational skills are a must. As the first point of contact for our organisation and as someone who will be working closely with our Board, the successful applicant must be able to demonstrate their exceptional communication skills at all times.

This is a dynamic but slow-paced working environment, where work is mostly repetitive and predictable. There is no requirement to travel to the office, except the occasional to visits to a UK client or supplier, which would be planned way ahead of time. Therefore the ability of the right candidate to work flexibly is essential.

This is a great entry-level position with the opportunity for progression. We will provide support needed to develop the knowledge and experience required for this role. In addition to this, we are happy to provide opportunities for the successful candidate to develop their overall skills and progress their careers with us on an ongoing basis.

The role is part time (Circa 24 hours per week with some flexibility to divide the time over the week). It is not office based. So, the successful applicant is not required to be based within easy, commutable distance from our office in Cardiff, but must have the legal right to work in the UK.

The Role

  • Support to the board, which includes:

  • Monitoring of Accounts.

  • Posting of Invoices.

  • Petty Cash reconciliation.

  • Supplier payment runs.

  • Expenses to load.

  • Invoices to send for transactions.

  • General duties including; telephone support.

  • Providing ad hoc administrative support across the business such as event management.

  • Administrative support for the Board including; preparing for meetings, drafting documentation, PowerPoint presentations, photocopying/scanning as required.

  • Support organisation of various events and meetings, by booking hotels and travel bookings.

  • Co-ordinate hospitality for customers attending on site meetings, including arranging lunches.

  • General office support for facilities management; organising repairs and maintenance work as required.

What We Value

  • MS Office skills in Outlook, Word, Excel and PowerPoint

  • Ability to demonstrate good organisational skills.

  • Ability to give great customer experience in all communications.

  • Excellent written & spoken English.

  • Ability to self-organise and prioritise work to meet deadlines.

  • Experience of working within an office environment is desirable but not essential.

  • Interest to learn new skills and develop existing ones.
